Job Description:

Full Time: 32+ Hours/week

Position will be responsible for assisting the orthodontist when treating patients in the clinical area. Duties include:

  • Preparing and maintaining dental instruments and instrument transfer
  • Preparation of dental materials; sterilization of instruments, set up instrument trays; bracket set-up
  • Prepare patient: prophy with a slow-speed hand piece, etching and sealants; ligature removal and replacement; and wire removal and placement
  • Removing excess cement from brackets and orthodontic bands
  • Pouring impressions and trimming plaster models for lab and presentation
  • Delivering patient oral hygiene instructions
  • Record treatment information in patient records
  • Inventory control
Requirements:

Experience as an orthodontist assistant required.

The ideal candidate for this position would be an Illinois Qualified Dental Assistant and an RHS (Dental Radiology Health & Safety Certified).

Main Function:

Performs a variety of duties to support the patient flow at a multi-doctor orthodontic practice. Acts as the first line of contact at the office and sets the tone for positive, productive appointments. Candidate must be able to work independently and communicate effectively and professionally not only with patients, but also with co-workers.  Must be a team player and have exceptional customer services skills. Appearance must be neat, clean, and polished.

Duties Include, But Not Limited To:
  • Guiding patients and parents through visit; act as facilitator for the patient
  • Preparation for daily patients
  • Checking in and out patients
  • Gathering new patient information
  • Scheduling appointments for patients
  • Telephone management
  • Responsible for day-to-day operations of the front desk
  • Communication of basic financial information, receipt of payments
  • Processing Retention letters
  • Maintaining open communication with peers in other offices to share best practices
  • Participation and interaction with co-workers to promote positive work atmosphere
Main Function:

The Administrative Manager’s chief responsibility is to ensure the entire administrative team within Associated Orthodontists operates efficiently and effectively focused on delivering quality patient care.  The goal is to align the administrative team to the same operating procedures while holding these individuals to the same standard of excellence with regards to skill set, attitude and engagement.

The Administrative Manager is responsible for the management of all Treatment Coordinators, New Patient Coordinators and Front Desk Coordinators across Associated Orthodontists six locations. Confidentiality in handling employee information is vital.  The Manager will display professionalism and empathy. Proven leadership skills are necessary and the ability to motivate the team is a must. This person will work in conjunction with the other departments within the practice to ensure the best possible patient experience from start to finish.

Responsibilities

  • Promotes consistency across the practice regardless of location or doctor
  • Reviews efficiencies within each position and seeks ways to make improvements
  • Oversees the training programs for administrativenew hires
  • Conducts routine site visits to AO’s six offices and leads meetings to help manage and development team
  • Manages each team members’ development and helps facilitate continuing education
  • Oversees staffing of team members to ensure appropriate coverage at all times including instances of absences
  • Actively works with Finance, Clinical and Marketing team to troubleshoot, facilitate consistency, create initiaves and implement protocols
  • Openly communicates withoperations director to identify and troubleshoot issues
  • Performs special assignments from doctors and/or operations director to meet business needs and goals
  • Routinely attends leadership meetings

  • Ability to identify and compassionately handle employee issues; always keeping operations directorapprised of any situations
  • Motivates team to create cohesive unit with an “how can I help you” attitude towards each other
  • Fosters open communication based upon respect and understanding between administrative team

  • Ability to manage information confidentially
  • Active in daily huddles and team meetings to share information and promote engagement
  • Reports weekly to the operations director

Qualifications/Requirements

  • 4 years’ experience managing teams
  • Microsoft Office proficient
  • Experience with practice management and imaging software
  • Self-starter and motivated to excel
  • Must be enthusiastic, dependable, dedicated, team-oriented, and possess above-average attention to detail
  • Outstanding, effective communication skills both verbal and written
  • Experience as a Treatment Coordintor/New Patient Coordinator and Front Desk Coordinator preferred
  • Experience in the orthodontic and/or dental field necessary
  • Bachelor’s degree preferred
